The Corporate Administrative Support – Legal is responsible for providing general clerical support for the Devon Legal Department.  The position performs a variety of administrative support services for Devon’s in-house attorneys and other legal support professionals, including but not limited to calendar management, travel coordination, matter and file management, mail intake and distribution, expense reporting, meeting preparation, correspondence preparation, and assistance with the creation of reports, documents, and presentation materials. The position also provides back-up administrative support for Devon’s Corporate Governance Group, including but not limited to assisting with Board and Board Committee related matters and maintaining corporate records and policies.


EDUCATION
High School diploma or equivalent; Associates Degree/Diploma or Bachelor's Degree in applicable field is preferred
 

EXPERIENCE
Requires a minimum of 5 years of related Administrative experience; relevant experience at a law firm or in a corporate legal department is preferred
 

JOB RESPONSIBILITIES
General Administrative Support
• Under limited supervision, provide general clerical support for in-house attorneys and legal support professionals, including:
    o Matter management (creating, updating, and maintaining matters, files, and records in Devon’s matter management system)
    o File and document management (assist with the maintenance, retrieval, and retention of physical and electronic files and records)
    o Document preparation (create and edit correspondence, memoranda, charts, graphs, spreadsheets, reports, PowerPoint presentations, document comparisons, and complex Word documents with table of contents)
    o Manage and coordinate calendars and schedule meetings
    o Meeting and event preparation
    o Coordinate travel arrangements
    o Handle mail, phone messages, emails, copying, scanning, faxing, internal deliveries, Outlook contacts, distribution lists, department provisioning, etc.
    o Management and coordination of attorney dues payments, licensure renewal, CLE training and compliance, and attorney association memberships
    o Assist with development and preparation of weekly attorney status reports
    o Provide administrative support for visiting attorneys
    o Assist with maintenance of legal library and training materials
    o Assist with special projects on an as needed basis
• Provide software applications support to attorneys and staff (Word, Teams, Outlook, Adobe, Excel, PowerPoint, TeamConnect, etc.)
• Assist with financial administrative support, including:
    o Reporting expenses
    o Review and coding of invoices
    o Processing electronic payment and check requests
 

Litigation Administrative Support
• Under direct attorney supervision, provide clerical support to attorneys, staff, and outside counsel on litigation matters, including:
    o Assist in discovery related document production
    o Assist in preparation of privilege logs
    o Assist in administration of legal holds
    o Assist in preparation of litigation reports for attorneys, staff, and outside auditors
    o Maintain litigation files and records
 

Transactional Administrative Support
• Under direct attorney supervision, provide clerical support to attorneys, staff, and outside counsel on transactional matters, including:
    o Assist attorneys and staff in preparation and revision of transactional documents and schedules
    o Maintain and coordinate transactional and due diligence files and records

 

Corporate Governance Administrative Support
• Provide clerical support for Board and Board Committee related matters
• Support and assist with Corporate Governance legal and regulatory processes
• Provide back-up clerical support for other responsibilities of the Corporate Affairs and Governance Group

 

OTHER REQUIREMENTS
• Oil and gas industry experience preferred
• Practice safe work habits at all times
• Demonstrate commitment to Devon Values
• Intermediate level computer skills (Microsoft Word, Teams, Outlook, Excel, Adobe, PowerPoint)
• Experience with TeamConnect (Devon’s matter management software) a plus
• Strong verbal and written communication skills
• Flexible and able to balance priorities
• Able to work with sensitive information and maintain confidentiality
• Strong interpersonal and organizational skills
• Licensed Oklahoma notary (or ability to obtain notary license)
