The Corporate Admin Support professional assist a Vice President and senior leader(s) by providing administrative services. These services include calendar management, travel coordination, and other administrative roles. The role will also be responsible for the creation of documents and presentation materials. This position will prepare and facilitate key meetings, like staff meetings and town hall gatherings.
The role will be responsible for day-to-day items and proactively search for opportunities to improve executive effectiveness. Applicants must be excellent communicators and highly organized.
• Assist in preparing presentation materials and reports
• Coordinate team input on specific projects
• Manage executive calendar and team calendars
• Greet and register visitors, guide them to the appropriate location and make them feel welcome
• Complete expense reports for team members
• Arrange travel, include detailed itineraries
• Coordinate team-building and social events
• Book meeting rooms and arrange catering as requested
• Work with other departments and external parties to schedule meetings/book rooms
• Provide leader with recommendations to improve teamwork
• Perform other administrative duties, as required
• Bachelor's degree preferred; experience considered in lieu of degree
• 1+ years of administrative assistant experience
• Skilled with Microsoft O365 software, including Outlook, PowerPoint, OneNote, Teams, and Word
• Experience and skill with team meeting facilitation
• A proven track-record for exceeding while exhibiting a positive attitude
• Strong verbal and written communication skills
• Strong interpersonal and organizational skills
• Flexible, multi-tasked oriented and able to work independently
• Proficient and accurate data entry skills
• Able to work with sensitive information and maintain confidentiality
